Terms & Conditions
PACKAGES (MEMBERSHIPS/BUNDLES):
- The terms and conditions of each membership can be read before purchase and please make sure you have read them, and understand them before use/purchase.
- Both class packs and recurring memberships will entitle the purchaser to a partial or complete discount on event(s)/class(es) offered by the business.
- Class packs can range from a single session to multiple sessions. They do have duration terms which, once reached, will cause the pack to expire, whether the sessions have been used up or not. It is your responsibility to make sure you do use up all of the sessions in the allocated time. They cannot be extended.
- Class packs cannot be refunded, nor can they be transferred to another class pack/membership.
- Recurring memberships bill on a regular basis, with the first payment due on the start date of the membership.
- Recurring memberships often have a fixed term, after which it may continue or come to an end. If it does have a minimum term then it may not be possible to cancel early. Please check the terms of the specific membership before purchase.
- Late cancellations and no-shows will incur the forfeit of that class use. Cancellation outside of the late cancellation period will result in the return of that session credit to your account to use for another session.
- There are different memberships available for different classes/courses so please make sure you purchase the correct membership.
- The business reserves the right to offer a membership refund in exceptional circumstances, at the director’s discretion. This may be a refund to membership credits.
CLASSES:
- Classes must be booked using the online booking system, by PAYG, using a class pack or recurring membership, unless otherwise agreed with the director of SFAA.
- All memberships and bookings are your responsibility to make and cancel through the booking system.
- Classes are booked on a first-come, first-served basis, and there is a limit on spaces.
- You must be punctual, if you arrive more than 5 minutes late, you may not be allowed to participate in the class, and you will not get a refund.
- There is an expiry date on class packs, and there will be no refund or transfer for classes not used before the expiry date.
- Late cancellations and no-shows will incur a 100% cancellation fee.
- There are no refunds offered to payment method. All refunds take the form of class packages to use up at a future date. A refund may be offered in the event of exceptional circumstances, although this is at the director's discretion and will also be subject to a £10 administration charge.
- Solent Fitness and Aerial Arts reserves the right to cancel or change classes when necessary, at short notice. This cancellation or change will be communicated as soon as possible via the booking system and email and may be due to illness, inclement weather, or other risks/hazards.
COURSES:
- Courses are generally available to be booked as a series of lessons.
- Some courses can only be purchased as the full course, while others are open to single session registrations. Purchasing the full course will secure your space on every session and will often be available at a discounted rate, compared to single session registrations.
- Class packs can be used to book onto single sessions of a course.
- Recurring memberships may be used to book onto course sessions.
- In the event that you need to cancel a single course session the normal cancellation terms apply - please check when you book.
- A full course booking cannot be cancelled in one go, rather you must cancel the sessions individually.
- The business reserves the right to offer a transfer or refund in exceptional circumstances, at the director’s discretion. This will be a refund to account credit, or a switch to an appropriate course.
ONLINE CLASSES:
- Online classes will require certain devices and software, it is your responsibility to ensure you have a suitable device and download the software and can successfully access the content.
- Please do check out the Terms and Conditions of the relevant membership/class/course option above and on their individual pages.
- As with face to face classes, late cancellations will not be refunded.
- Some online content is recorded for later access but this isn’t always the case so if you cannot make the allocated class time, you may miss the class.
Code of Conduct
SAFETY:
- Listen to your instructor and try to follow their instructions when it comes to executing moves, this is for your own safety.
- Be on time to all lessons - we know traffic can be difficult, but it’s vital that you take part in an effective warm up and we can’t delay classes for lateness. For insurance purposes, you may be turned away if you arrive more than 5 minutes late. This includes children’s classes. If you are turned away due to lateness, you will not receive a refund.
- Please don’t teach your fellow students in class, unless you are qualified in that area and the main instructor asks for your help. Encouragement and guidance is great but please do not instruct others.
- Always inform your instructor at the start of class if you have any injuries, or if there’s any relevant information we need to know about before you start. Please do not attend if you have a transmissible illness (flu/COVID-19 etc.)
- Bring a drink in a reusable bottle, all of our classes are fitness classes and it’s important that you stay hydrated! Parents - if your child is attending a class with us, please make sure they have a drink with them.
- Children’s classes are designed to be fun, but do need to be safe and effective so children will be expected to behave, listen to the instructor and follow all instructions to the best of their ability, throughout the class. This will include keeping the noise level down, and staying off mobile phones when asked.
- For all children’s classes, we would ask that parents come into, or just outside of the building to drop off and pick up their child so that we can make sure they arrive and leave safely. We would also ask that you are on time to pick your child up.
ADMINISTRATION:
- If you have any issues or questions about classes etc, please direct them to the main contact email - info@solentfaa.co.uk - please do not message instructors’ personal numbers/social media. Please allow up to 48 hours for a reply.
- Check the terms and conditions of memberships, it’s important that you know what you are buying! You are responsible for all cancellations, starting and ending your memberships and ensuring you get to use up all of your classes, before they expire.
- Keep your Gymcatch profile up to date - this includes medical information, personal details, emergency contacts etc. You can edit this, when any changes occur.
ATMOSPHERE:
- Be nice to one another - we like to have a supportive atmosphere in all of our classes.
- Generally, parents are not allowed to sit in the studio when their children are in class, as this proves to be a distraction for the child. We are happy for parents to stay for one or two classes initially but after that, you may be asked to wait outside during class.
- Photography is allowed in classes, although when photos are taken is up to individual instructors, they may ask that all photos are taken in a specific period in the class to allow for a smoother class. When taking photos, please ensure you don’t have anyone else in the background without their/their parents’ consent. This includes instructors. Anyone taking photos of others without their consent will be asked to stop.
- During some classes there may be under 16’s present in the same or separate classes to the adults, please keep this in mind with language and behaviour!
- We are committed to providing an inclusive environment for all staff and participants. We value diversity and believe in providing equal opportunities for all. We have a zero tolerance policy for discrimination.
MISCELLANEOUS:
- Pole & Aerial equipment will be provided, as will weights (dumbbells/kettlebells) where relevant.
- Please bring in your own clean towel/cloth to wipe down the equipment as you use it.
- Any other things you might need, including grip, knee pads, yoga mats, resistance bands, please bring your own. We can recommend places to buy them and we often sell grip aids too. We can provide grip to try it out but not for general and regular use.
Privacy Policy
We collect and use personal information for purposes of administering our business activities, providing the services you have requested, to process your payment, to monitor the use of the service, our marketing and promotional efforts and improve our content and service offerings and for other lawful purposes.
Only those who need to see your information to fulfil the business requirements or to keep you safe in class will see your information.
This will be the management team, instructors & administrative staff.
Personally identifiable information or business information will not be shared with parties except as required by law.
We do not share, sell, lend or lease any of the information that uniquely identify a client (Such as email addresses or personal details) with anyone except to the extent it is necessary to process transactions or provide services that you have requested.
We may disclose information when legally compelled to do so, in other words, when we, in good faith, believe that the law requires it or for the protection of our legal rights. We may also disclose account information when we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who may be violating our Terms of Service or to protect the safety of our users and the Public.
You have the right to have any inaccurate data rectified or completed. You have the right to access all the information that we have retained. We would ask for any requests for data amendment or access to be submitted in writing. We have one calendar month from date of receipt with which to comply, although we endeavour to complete the requests sooner.
